Administrative Assistant

As a small dynamic law firm (downtown), we need you if the following list of abilities and qualifications fits your interests and motivation. We are looking to for a new Administrative Assistant to start immediately.

Please note: Experience in the legal field is desired, but not required if you are otherwise qualified. Minimum Qualifications:
1-2 years Office Clerk/ Receptionist experience 
2 years of college preferred
Proficiency with MS Word, Excel & Outlook, Adobe Acrobat
Standard professional level written and verbal communication skills
Ability to manage deadlines and be a Team player
Must be organized and detailed orientated Job Duties:
Answer telephone, process mail and e-mail, manage files, fax, data entry, etc. 
Schedule hearings, conferences, meetings, depositions, and conference calls 
Manage office master calendar
Finalize firm’s bills/invoices, post incidentals, and input client payments  UPS/FedEx/ USPS Shipping/coordinate with office messenger for deliveries  Maintain office cleanliness and organization.
Assist with travel arrangements for staff as needed for off-island/out of state projects. Manage physical and digital files for storage, email requested Clio reports. Voluminous scanning and printing, at times. Manage office supplies.
Make Bank deposits.
Other clerical duties as assigned Preferred Experience.
Clio office management software experience is helpful, but not required.
Efiling experience JEFS/CM/ECF.
General litigation knowledge (terminology, basics of the process, etc.).
Experience editing for non-content related matters such as, identifying spelling errors, typos, punctuation, and formatting inconsistencies.
Ability to format and generate “shell” documents for attorneys’ further use.
