**Hybrid Work Environment - Must reside in Oahu**

Primary Purpose:

Coordinate and execute the accurate and timely completion of day-to-day employee benefit administration, ensuring employees receive prompt and accurate information. Research and respond to complex and non-routine inquiries, conduct benefits education, and validate benefit program compliance activities. Assist with projects and reporting activities, audit and document processing, and maintain accurate retiree records and retirement related reporting. Support and participate in special project assignments.

Minimum Requirements:
  1. Associate's (AA) degree and two (2) years of related work experience, or equivalent combination of education and related work experience.
  2. Strong verbal and written communication skills.
  3. Intermediate working knowledge of Microsoft Word. Basic working knowledge of Microsoft Office applications (Email/Outlook, Excel, and PowerPoint).
Duties and Responsibilities:
Benefit Administration (including but not limited to the following):
  • Comply with all applicable benefit laws (e.g., ERISA, SECTION 125...), plan documents, and company policies.
  • Prepare data files on all benefit enrollments for vendors with accurate eligibility information.
  • Assist with various administrative duties such as but not limited to benefit billings when employees are on unpaid leave, benefit memorandums, maternity documentation and other leave administration.
  • Research and prepare benefit calculations for rehires and meet with employees to educate and review benefits.
  • Process applicable benefits and claims for eligible employees.
  • Update the various leave related logs to include OSHA, Workers Compensation, ADA and TDI.
  • Respond to benefit inquiries from managers, retirees and employees on plan provisions, benefit enrollments, status changes and other general inquiries.
  • Assists with new-hire orientations to provide benefits education.
  • Assist with auditing the work of HR Support Specialists and others as appropriate.
  • Handle corrections and resolve non-routine adjustments as needed.
  • Conduct research and recommend viable solutions to benefits administration issues.
  • Coordinate the development and implementation of procedural changes and document new procedures, track process and workflow changes.
  • Analyze errors/problems to minimize future concerns and recommend efficiencies.
  • Communicate with Payroll staff to discuss and resolve ADP system data entry issue.
Retirement Administration:
  • Comply with all applicable benefit laws (e.g., ERISA, SECTION 125...), plan documents, and company policies.
  • Conduct retirement counseling's and manage all retirement tracking.
  • Respond to retirement inquiries from managers, employees, retirees on plan provisions, benefit enrollments, and other general inquiries.
  • Review issues and research available retiree records to assure accurate resolution to retirement related inquiries.
  • Provide functional knowledge, expertise and guidance to resolve process and procedure issues to ensure timely and accurate retirement reporting and compliance standards are met.
  • Administer the Retiree Drug Subsidy program.
  • Coordinates with other departments in fulfilling the retirement administration such as: Membership, Finance and accounting, etc.
  • Update and maintain the retirement database with current retirement information.
  • Process other retirement related tasks such as: age 65 conversions, group life age reductions, etc.
  •  Manage the various annual benefit projects to support the Human Resources department goals and initiatives.
  • Lead in the coordination and management of tasks to ensure project deadlines are met.
  • Coordinates the administrative tasks relating to annual compliance communication for all benefit related plans to include but not limited to Summary Annual Report and Summary of Material Modifications.
  • Responsible for completion and submission of the annual OSHA and TDI reporting.
HR-Benefits Education and Outreach:
  • Conduct timely and effective employee benefit -related training for employees and supervisors. Includes periodic ad hoc requests for training from departments to focus on specific benefits.
  • Develop training materials to educate employees and enhance awareness of the benefits offered by HMSA.
  • Make recommendations for improvements and conduct HR staff training as needed regarding errors, processes and procedure changes.
Other Duties:
