Manager, Special Projects
POSITION SUMMARY
The Manager of Special Projects is a dynamic position supporting the President & CEO in advancing organizational priorities through the planning and execution of cross-functional initiatives. This position plays a key role in managing the Hawai‘i Visitors & Convention Bureau’s (HVCB) projects that reflect the organization’s strategic objectives—particularly those involving international partnerships, sustainability programs, and engagement across the Pacific Region.
This position is ideal for a resourceful, culturally aware professional with strong project coordination experience, multilingual communication skills (especially in French), and a deep passion for environmental sustainability and cultural collaboration.
KEY RESPONSIBILITIES
- Lead and coordinate fast-moving, cross-functional projects in collaboration with the CEO, particularly those tied to Pacific engagement, cultural initiatives, and environmental sustainability.
- Monitor project timelines, deliverables, and dependencies across departments and partner organizations
- Support tracking of project progress, meeting documentation, and follow-up actions.
- Provide high-level administrative assistance to the President & CEO, including travel planning, scheduling, and communications.
- Prepare materials such as briefing documents, agendas, and post-meeting reports for stakeholders.
- Facilitate coordination between the President & CEO and other departments.
- Assist with researching and drafting HVCB’s internal sustainability policies and contribute to strategies aligned with regenerative tourism models.
- Benchmark the organization’s practices against international and regional standards (e.g., UN SDGs, Pacific Sustainable Tourism Policy Framework).
- Coordinate internal communications and reporting around sustainability goals.
- Support HVCB’s collaboration with Pacific institutions (e.g., SPC, PIFS) and uphold cultural protocols in regional interactions.
- Help organize and manage planning for regional projects, cultural initiatives, and visiting delegations.
- Provide French-language support as needed for engagement with Francophone Pacific partners.
- Contribute to concept development, research, and content creation in alignment with HVCB’s mission and strategic goals.
- Assist with digital communication tools including websites, presentations, and stakeholder reports.
- Support the execution of events and cultural programs grounded in community values.
- Bachelor’s degree in a relevant field such as Pacific Studies, Sustainability, Tourism, Marine Science, or International Relations.
- At least two years of experience in project coordination, executive-level support, or regional/international program implementation.
- Familiarity with Pacific Island contexts or experience working in multicultural settings preferred.
- Proficiency in French strongly desired.
- Effective communication, writing, and organizational skills.
- Comfortable with tools such as Microsoft 365, Google Workspace, Slack, and Squarespace.
- Demonstrated cultural sensitivity and a collaborative, team-oriented approach.
