POSITION SUMMARY

The Administrative/Marketing Assistant assists with the day-to-day operations of Bobbin Tablano DBA Coldwell Banker Realty. This position will assist with the following items:
 
Support in building, implementation, and management all systems for sellers,buyers, lead generation, database management, information management, and back office-support.

Responsible for all financial systems, including ensuring the collection ofcommissions, maintaining the budget, and generating financial reports.
  • Oversee all contracts to closing.
  • Support in the creation and maintenance of an operations manual that documents all policies and procedures, and systems and standards.
  • Be the first point of contact in handling customer problems or issues that need to be handled.
  • Keep team leader informed regarding problems or issues that need to be handled.
  • Support in the development and execution of the business and marketing plan.
  • Marketing - Coordinate and support in the team’s efforts to market listings,
  • laser target farming, marketing to the team’s database.
 
ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Business system development, implementation, and management.
  • Information management.
  • Oversight of contracts through closing by coordinating with Transaction.
Manager (RE Coordinators).
  • Customer/vendor relations.
  • Oversee execution of the Client Relational Management (CRM) system and Referral Maker Pro.
  • Weekly review of budget execution and spend plan.
  • Coordinate weekly team meetings and develop agenda items with Lead Agent.
  • Assist Listing Agents and Buyer agents when required.
  • Coordinate with Marketing Manager.
  • Schedule and organize client appreciation parties,
  • Other duties as assigned.

EQUIPMENT, MACHINES, VEHICLE

Computer with reliable internet is required if working from home. Personal vehicle or reliable form of transportation to/from the office is highly recommended. Employee might be required to use a personal vehicle to meet at a property to assist Bobbin.
 
WORK ENVIRONMENT
 
Indoor and outdoor environments, including but not limited to: work-from-home environment, residential property sites, office etc. – exposure to hot and cold temperatures and different weather conditions. 
 
WORK SCHEDULE
 
Flexible – Able to work days, weekends and holidays.
